Questions & straight answers

GridMail, honestly answered

Plain answers, no hand-waving. Here's exactly how cold email for recruiters works, what GridMail does (and deliberately doesn't do), and whether it fits your desk. For the full picture, start with our guide to cold email for recruiters.

Getting started

Cold email built for recruiters: you upload the companies you'd love as clients, GridMail writes a personalized email plus follow-ups, sends them from your own inbox, and stops the second someone replies. It's measured in replies and booked meetings rather than how many emails went out the door.

It's for independent recruiters, boutique staffing firms, and solo BD operators who want a handful of real conversations with hiring managers. It isn't built for 20-person SDR teams blasting 10,000 sends a day. Tools like Instantly or Apollo already do volume better than we ever will. If you sell on relationships instead of spray-and-pray, you're in the right place.

GridMail is an AI cold email tool built specifically for recruiters and boutique staffing firms, independently operated under the GridMail name. It's operated under the GridMail name and is not affiliated with, or operated by, any other company. If you ever need to reach a human, the contact page goes straight to us.

Nope. GridMail sends from your existing Gmail or Google Workspace at a human pace. If you can send an email today, you can run GridMail today. You skip burner domains, DNS records, and the two-week warmup ritual entirely.

About fifteen minutes. Connect your inbox, upload a CSV of target companies, skim the sequences GridMail drafts, hit go. Then GridMail runs the follow-ups while you work your reqs. You only step back in when a reply lands.

From you. You upload the companies you want as clients. Your market knowledge is the edge, GridMail is the execution. We don't sell scraped lead lists, because the recruiter who actually knows their patch beats a bought list every time.

Personalization & sending

The opener is built from each prospect's actual website (their roles, their language, their world), so it reads like you did your homework, because effectively you did. And you review every sequence before a single email sends. Nothing goes out that you haven't seen and approved.

Real personalization, not "Hi {FirstName}." GridMail reads the company's site and writes a first line that references what they actually do or who they're hiring. The kind of opener that earns a reply instead of getting filed under "delete."

Starter includes 1,000 personalized emails a month; Pro includes 5,000. Everything sends from your own inbox at a natural, human cadence. The goal is replies you can act on, not a firehose that torches your sender reputation.

The things that trigger spam filters are volume spikes, spammy templates, and sketchy sending domains. GridMail dodges all three: it sends from your real, reputable inbox, at human pace, with genuinely personalized copy, and every email carries an unsubscribe link with a permanent suppression list behind it.

Replies, meetings & compliance

Their sequence stops instantly. No awkward "just following up!" after they've already said yes. And the reply lands in your normal inbox, ready for you to book the meeting. That reply-triggered stop is the whole point of the product.

Honest answer: no. GridMail gets you to the reply (the hardest, most tedious part) and hands you a warm conversation in your inbox. Closing it into a booked call is you doing what recruiters do best. We're not going to pretend an AI should run your client relationships.

B2B cold outreach is legal in most places when done right: a clear unsubscribe, honoring opt-outs, and sending within normal limits. GridMail bakes in the unsubscribe link and a permanent suppression list, and keeps volume inside your provider's rules. (We build the guardrails, but we're not lawyers. Check the rules for your region if you're unsure.)

Pricing & plans

Starter is $25/mo, Pro is $59/mo. After that: Starter is $25/month (1,000 personalized emails, 250 recipients per campaign, 1 inbox) and Pro is $59/month (5,000 emails, 1,000 recipients per campaign, up to 3 inboxes). See the full breakdown on the pricing section.

Yes. You pick a plan (Starter is $25/mo) and add your card at checkout. You can cancel any time from Settings → Billing, in two clicks.

Two clicks, no "call to retain," no dark-pattern maze. If GridMail isn't earning its keep, you should be able to leave cleanly.

Just getting started or running a light desk? Starter's 1,000 emails/month and 250 recipients per campaign keep a steady BD pipeline warm. Sending real volume? Pro's 5,000 emails/month, 1,000 recipients per campaign, and up to 3 inboxes give you room to scale. Start on Starter and move up whenever your pipeline outgrows it.

The fun / honest ones

Because "sends" is a vanity metric that feels productive and pays nothing. One reply from a hiring manager who needs to fill three roles is worth more than 5,000 emails into the void. GridMail is built to manufacture that one reply, and then get out of your way so you can turn it into a placement.

GridMail is tuned for business development: winning the client, i.e. the company with roles to fill. Plenty of recruiters point it at hiring managers and decision-makers. Could you technically email candidates with it? Sure, but that's not the job we optimized for, and we'd rather do one thing brilliantly than everything blandly.

If you can send an email and open a spreadsheet, you're overqualified. There's a 60-second walkthrough the first time you sign in, and the whole product is built to be run between phone calls, not studied like enterprise software.

Head to the contact page and send us a note. A real person reads it. Every plan gets support. Nobody gets ignored.

Trust & data

GridMail uses Google's Gemini model to draft the personalized opener and follow-ups from a prospect's public website. Your prospect lists and generated sequences are used to run your campaigns. They're not sold, and they're not used to train third-party AI models on our end. See the Privacy Policy for full details on data retention and handling.
